Wolff’s Pack Snowmobile Club Meeting Minutes April 11, 2017 – Mikeee’s Paynes Point The meeting was called to order at 7:41 p.m. by VP : Paul Kuehnl. First order of business: The March 2017 meeting minutes were read by Jason Ollanketo. Minutes were accepted and unanimously approved. Treasurer’s Report (Stacy Frakes) Please join our club to get a copy of the Treasurer’s Report. Social / Promotions Committee Beth Calder agreed to be the new Social Committee chairperson. A special thanks goes out to Beth for accepting this role. Club Vintage Event: Official Name as decided by the Vintage Event Committee. “Fox Valley Winter Expo” sponsored by the Wolff’s Pack Snowmobile Club “Generations: Moving Forward While Looking Back” will be our theme for the first year. The event will feature a vintage ATV/snowmobile show, a swap meet, raffle sales, vendor displays and fun activities for the kids. Paul Kuehnl is still working on creating the Vintage classes that will be judged at the event. Stacy and Paul are interested in pulling together old pictures from the dawn of the Wolff’s Pack club to display in a slideshow at the event. Stacy listed off several potential businesses for us to contact regarding their interest in participating and Paul mentioned that we would try to get the new Miss Snowflake for next year to attend the event and draw our winning raffle tickets. AWSC Convention Hospitality Suite Lisa Fochs agreed to be the committee chairperson to run the event which will take place on October 27, 2017 at the Radisson Paper Valley Hotel in Appleton, WI. A special thanks goes out to Lisa for volunteering for this event. The club plans to solicit donations from local businesses to once again offer raffle baskets as well as a Wheelbarrow of Adult Beverages as its own raffle. Club Raffle The club plans to sell club raffle tickets at the event with plans to give away the prizes at the Fox Valley Winter Expo. The club has not yet decided what to actually raffle off. Craig Fochs did make a motion to create a raffle budget of $2,500. Joel Vernon seconded and all approved. Stacy Frakes has taken on the responsibility of doing more research into the prizes for this raffle. County Director’s Report Mike Thoma attended the AWSC convention that was held the weekend of March 24-26 at the Potawatomi Casino in Milwaukee, WI. It was noted during the meeting that starting this fall the AWSC will start charging for every credit card transaction made with them to register AWSC members. Wolf Pack Snowmobile Club Monthly Meeting Minutes 2016-2017 Trail/Grooming Committee The club discussed having a Summer Sign Party to refresh all of our sign inventory. Joel Vernon made a motion for the club to get together on Saturday June 3, 2017. Grant Wilson seconded and all approved. Membership and Safety Committee Jason Ollanketo does plan to teach another ATV/Snowmobile Class at the Boys and Girls Brigade this December. Jason also plans to put together a Snowmobile Safety display for the Fox Valley Winter Expo. Old Business 501c(3) As of March 23, 2017 the Wolff’s Pack Snowmobile Club is now recognized as a 501c(3) by the State of Wisconsin. The club can now receive tax deductible donations. AWSC of the year awards Mike Giese and Mike Thoma still need to provide information to Stephanie Kaul to officially nominate Team Winnebagoland as a Dealer of the Year. The deadline for the application is April 28, 2017. New Business Octoberfest: Jason Ollanketo made a motion for the club to sell corn at Octoberfest again this year with Jason Ollanketo and Stu Hoelzel to co-chair the event. Stacy Frakes seconded the motion and all approved. The applications for Octoberfest 2017 will be made available at noon on Monday April 24 and spots will be filled on a first come, first served basis. Elections: Nominations were made and accepted at the March Meeting. There were no new nominations at the April Meeting. Mike Thoma did inform the club that our current bylaws state that an outgoing President will assume one term as a Board Member. As such, there was no election held for the board member position. Wolff’s Pack Snowmobile Club Meeting Minutes Mar 14, 2017 – Mikeee’s Paynes Point The meeting was called to order at 7:35 p.m. by VP : Paul Kuehnl. First order of business: Feb 2017 meeting minutes were read by Jason Ollanketo. Minutes were amended as follows and unanimously approved. A $150 deposit was required to reserve the Sunnyview Expo Center for next January. The IRS has approved our 501c(3) status, the State of Wisconsin recognition is still pending. Social / Promotions Committee Club Vintage Event: The club discussed the upcoming January Wolff’s Pack Snowmobile Event scheduled for January 6, 2018. Mike Giese and Paul Kuehnl visited the Expo center and sketched out a potential layout plan. Paul and Stacy have been coordinating meetings with local dealerships in the area to drum up interest in corporate sponsorships. The club discussed various options at the event including the following: A vintage show with trophies, the potential of giving snowmobile rides to kids, having kids drive Kitty Cat’s or Z120’s equipped with remote kill devices, basket raffles, consignment options, a swap meet and snowmobile demos. The club also spent some time trying to brainstorm a catchy name for the event with plans to send emails out to solicit ideas from the rest of the club not in attendance. Paul Kuehnl, Mike Thoma and Stacy Frakes will all be taking leadership roles on the sub-committees to help make the event a success. Paul will manage outside activities and sponsorship, Mike will work on Food and Stacy is in charge of Raffles and Media exposure. County Director’s Report Mike Giese reported that there have been 16 deaths in Wisconsin related to Snowmobiling this winter. Be safe out there. Mike also mentioned that the AWSC convention would be held the weekend of March 24-26 at the Potawatomi Casino in Milwaukee, WI. Trail/Grooming Committee All of the trail signs were picked up on Saturday March 11. After the signs were done, Joel, Jack, Stu and Mike cut down a path in Wiese’s woods for a future bridge opportunity. The club went out for breakfast at Oink’s following the work. Town of Vinland Ad: Stacy researched this topic and found out that the Town of Vinland will only publish a newsletter once a year in the December timeframe. The award will be given in the July timeframe. New Business AWSC Hospitality Suite for Appleton fall workshop: The club is planning on hosting another hospitality suite at the Radisson Paper Valley Hotel this coming October. Wolff’s Pack Snowmobile Club Meeting Minutes Feb 14, 2017 – Mikeee’s Paynes Point The meeting was called to order at 7:34 p.m. by President : Mike Thoma. First order of business: Jan 2017 meeting minutes were read by Jason Ollanketo Minutes were unanimously approved. Treasurer’s Report (Stacy Frakes) Please join our club to get a copy of the Treasurer’s Report. Social / Promotions Committee Club Vintage Event: Paul Kuehnl has done a lot of research regarding our club holding a future vintage show/swap meet event at the Sunnyview Expo center in Oshkosh. The club discussed different options and ideas to make this a successful fundraiser event. Paul got estimates for a $1,350 rental fee to reserve one wing of the expo center. We also talked about getting a temporary trail setup so people could drive snowmobiles to the event if snow was present. We talked about getting help from other club’s but decided that we would go it alone at least the first year. Scott Thoma made a motion for the club to put down a $160 deposit to reserve the event for next winter. Mike Thoma seconded and all approved. We will be reserving one wing of the expo center and we will be capable of having both indoor and outdoor vendor’s at the event. Paul Kuehnl will be looking for business sponsorships and Stacy Frakes and Mike Thoma will both be helping to co-chair the event planning. We will be looking for additional support from our club member’s to make this a successful event. County Director’s Report Blue Mound, DNR passed to let trail thru park 6 to 1 vote. This was a big win for the snowmobiling community in Wisconsin. Thanks for your comments. It is very important that we send in comments when asked, as we have strength in our numbers and it only takes a few minutes. Overall the friends of Blue Mound with 79 members had 1,200 comments to keep the sleds out and the AWSC was able to generate 4,000 comments supporting snowmobiling per the park’s original master plan. The AWSC is currently in process of writing legislation to raise the current $250/mi trail maintenance to $300/mile. Stay tuned for updates in future for us to send in comments. Trail/Grooming Committee The trails are closed at this time with no additional grooming since the snow event before Christmas this season. There were some additional discussions regarding the procurement of swamp mats to make a new bridge across Wiese’s ditch. Safety Committee No Updates. Old Business 501c(3): As of the meeting, Stacy Frakes reported that the Wolff’s Pack Snowmobile Club is now recognized as a 501c(3) by the State of Wisconsin. A special thanks goes out to Stacy for all of her hard work to make this happen. Website: The Wolff’s Pack club website is finally back up and running. Jason Ollanketo did spend approximately $312 between the site cloning and professional services required to get it back up and running. New Business AWSC Raffle Ticket: Mike Giese talked to the club about purchasing a $100 Raffle Ticket to help support the AWSC. The club has previously won prizes twice with this raffle ticket purchase. Paul Kuehnl made a motion to purchase a ticket with Stacy Frakes seconding. All approved. AWSC of the year awards: Stephanie Kaul agreed to type up a nomination statement for Team Winnebagoland for the Dealer of the Year. Mike Thoma and Mike Giese agreed to provide background information for Stephanie’s write-up. Town of Vinland Ad: After some discussion on the topic, Mike Thoma made a motion for the club to purchase a $50 advertisement in the Town of Vinland newsletter thanking our landowner’s for supporting our club and local trails. Wolff’s Pack Snowmobile Club Meeting Minutes Jan 14, 2017 – Vinland Still and Grill The meeting was called to order at 10:05 a.m. by President Mike Thoma. First order of business: Dec 2016 meeting minutes were read by Jason Ollanketo Minutes were unanimously approved. Treasurer’s Report (Stacy Frakes) Please join our club to get a copy of the Treasurer’s Report. Social / Promotions Committee No updates. Look for future planning meetings from the Social Committee. County Director’s Report Mike Giese updated the club on some of the activities that took place on the Lake Breeze Golf Course in December. Some snowmobilers were driving over private property over newly planted trees as well as over the golf course close to Winneconne. The Winneconne club was very proactive with this issue and did a great job working with the landowners and putting up additional signage to prevent further trespassing. Mike reported that the DNR only handed out 42 tickets last year for no Trail Pass. This year they will be more pro active with their enforcement. Trail/Grooming Committee The groomer went out for a total of 6.5 hours over the brief stint that the trails were open before Christmas. We installed new LED lights on both the front and rear of the groomer and they are very nice. Mike Giese, Joel Vernon and Mike Bresnyan changed the transmission and engine oil in the groomer. The club talked about the potential to put in some swamp mats to improve the ditch crossing close to Vinland Center Road. Some club members are working on getting some quotes on swamp mats for this potential future project. Safety Committee Jason Ollanketo and Paul Villwock from the Sno-Pioneers club taught a Snowmobile/ ATV safety class on Dec 14, 16 and 17 at the Boys and Girls Brigade in Neenah. Overall, 19 students passed the Snow exam and 16 students passed the ATV exam, including some of our very own club members. It was a very successful class. Old Business 501c3: The 501c3 process is still progressing nicely. So far most of the paperwork has been filled out and our forms have been submitted to the state. Stacy will keep the club updated on the overall status. Website: The Wolff’s Pack club website is still not operational. Jason Ollanketo is working with Host Gator to get the Wolff’s Pack site cloned from the WCSA site at a cost of $112.50. Jason will update the club once the site is back up and running. Social / Promotions Committee No updates. We are still looking for club members to have more involvement on this committee. County Director’s Report Mike Giese updated the club with information from his latest activity as a member of the AWSC legislative committee. The AWSC met with their new lobbyist in Madison. They will be working with the state legislature to start working on key funding changes for club reimbursement. They are looking to raise labor and groomer rates for club billing. They are also working to increase the allowable funds per mile of trail from the current $250/mile to a possible $300/mile for funded snowmobile trail. The Blue Mound Parks lawsuit is still a topic with the AWSC and Mike has asked that everyone offer their comments to support snowmobiling in Blue Mound State park. Watch for emails on this topic. Trail/Grooming Committee The trail marking is complete. We did have to get Eckstein to do some bulldozing in a couple of spots on the trail and the corn was very late coming off on one of our fields. As of the meeting there was still a small amount of electrical work to complete on the groomer, but that has been addressed at this time. Safety Committee Jason Ollanketo and Paul Villwock from the Sno-Pioneers club are teaching a Snowmobile/ ATV safety class on Dec 14, 16 and 17 at the Boys and Girls Brigade in Neenah. Wolf Pack Snowmobile Club Monthly Meeting Minutes 2010-2011 New Business Website: The Wolff’s Pack club website is still not operational. Jason Ollanketo was able to transfer the domain names from our previous vendor, Nightlight Consulting. All of the website information is now under our control at HostGator.com. At this time, the former Wolff’s Pack site has been infected by malware and we need to recreate the site from scratch. Jason is working with Hostgator to get a quote to “Clone” the WCSA website to serve as a base for a new Wolff’s Pack website. After some discussion, Mike Thoma made a motion to allow Jason to spend up to $300 with Hostgator to help expedite the process of getting the Wolff’s Pack site back online. Paul Kuehnl seconded and all approved. Groomer Shed Tools: After some discussion on the topic, Joel Vernon made a motion to spend up to $300 on tools for working on the groomer equipment. Todd Llewellyn seconded and all approved. Once the club achieves its 501c3 status, Mike Giese plans to donate a toolbox to help store the new tools. Groomer Electrical Dash updates: Jason Ollanketo worked with Todd Llewellyn and an Oshkosh Corp electrical engineer to help install a new fuse panel and revised electrical in the groomer. This work cleaned up the wiring in the dash and has eliminated a recurring key switch failure that has plagued the groomer over the last couple of years. Paul Kuehnl made a motion for the club to pay the Electrical engineer $100 for his professional services, Mike Giese seconded and all approved. Social / Promotions Committee We are still looking for club members to have more involvement on this committee. County Director’s Report Mike Giese updated the club with information from his latest Directors meeting at the AWSC Fall workshop. The WI Tourism Dept presented and stated that Snowmobiling is $1 Billion industry in Wisconsin. The state took in an additional $2.2 million from the new trail pass system last year. The future goals of the AWSC are to raise groomer rates by 20%, raise labor rates from $6.50 to $8 an hour and get the entire trail system GPS mapped. The Legislative committee is also looking to raise the funded trail maximums from $250 to $300/mile. These objectives are not set in stone and will take some time to achieve. Trail/Grooming Committee All Landowner permissions have been granted. A lot of disking has been completed. The groomer committee got together on Saturday Oct 22nd and worked on the groomer. One of the front wheels was replaced and an attempt was made to tighten the track, but it is not yet loose enough to remove the slack. Our traditional marking day is always the first Saturday in December, but we might need to delay if the ground is to wet. They have been very useful for disking given the wet conditions we have faced this fall. Club Raffle: Stacy Frakes was able to get Raffle tickets printed. Social / Promotions Committee No updates Trail/Grooming Committee The crops are coming off slowly. Some of the fields have been disked and Mike Giese will continue to disk as weather and conditions permit. Mike will be scheduling a Groomer Committee activity day in the near future. Watch your emails. If you would like to join the Groomer/Trails committee please contact Mike directly. Safety Committee Jason Ollanketo will be teaching a joint ATV/Snowmobile class again this year sometime in December. More information will be available once the class is scheduled. Old Business The club had a very successful Octoberfest again this year. We were one of three groups selling corn on the avenue. We sold out of 150 dozen ears of corn by 3:15. Allen’s Corn was a huge hit on the avenue, while the other corn vendors, still had lots of corn left at the end of the day. Blue short sleeve shirts: 2 Small, 3 Med, 6 Large, 3-XL and 4-2XL New Business 501c(3) status: Stacy Frakes did some research on how much it would cost for the club to sign up for a 501c(3) tax exempt status. She spoke with the Epiphany Law firm and estimates that the total lawyer and filing fees will be somewhere between $1500 and $2000. After some discussion regarding the benefits of Wolf Pack Snowmobile Club Monthly Meeting Minutes 2010-2011 becoming eligible for tax deductible donations, Stu Hoelzel made a motion for Stacy and the club to move ahead with Epiphany Law Offices to become a 501c(3). This was seconded by Mike Bresnyan and approved by the membership. Club Raffle: The WP board met before the meeting and put together some plans for the club to have a cash raffle this fall to help offset the costs of the 501c(3) paperwork. The board suggested that the club sell 250 raffle tickets at the cost of $20 each with a grand prize of $1500 and a total of 5-$100 consolation prizes. If all of the tickets were sold this could result in a fundraising opportunity of almost $3,000. There was a lot of discussion amongst the club members who ultimately agreed on a ticket price of $10 with 500 total tickets to be sold. Todd Llewellyn made a motion for the club to do the cash raffle with the grand prize to be given away at the January Breakfast meeting. Stacy will get 500 tickets printed to sell at $10 each with a $1,500 top prize and 5-$100 second place prizes. Joel Vernon seconded and all approved. We will need support from all of our club members to help sell these tickets. Memberships: During the Sept meeting, a motion was made to give away a free membership at the October meeting in an effort to jumpstart memberships for the year. The club ended up having 10 people sign up online and took in an additional 21 memberships at the meeting for a total of 31 to start the season. Our newest member, Lisa Fochs drew Brian and Cindy Feit as the winner for the free membership for this season. Wolff’s Pack Snowmobile Club Meeting Minutes Sept 13, 2016 – Vinland Still & Grill The meeting was called to order at 7:42 p.m. by President Mike Thoma. First order of business: April 2016 meeting minutes were read by Jason Ollanketo Minutes were unanimously approved. Treasurer’s Report Please join our club to get a copy of the Treasurer’s Report. Social / Promotions Committee President Mike Thoma asked for volunteers to form a new Social/Promotions committee. A sign up sheet was passed around the room and Stacy Frakes and Dave Ariola both signed up for the committee. We are still looking for more volunteers if anyone else is interested. Katie Samuelson donated some old school snowmobile patches to the club. The board decided to give these out for free at the meeting to anyone who was interested in them. The raffle license has been renewed for this year and expires next year in May. Trail/Grooming Committee President Mike Thoma asked for volunteers to form a Trails/Grooming committee. This committee will be led by our elected Trail Boss: Mike Giese. Todd Llewellyn, Stu Brazee, Stu Hoelzel, Mark Covill and Jason Ollanketo signed up for this committee at the meeting. The new Wolff’s Pack storage shed is finished. Mike Giese installed a garage door, installed electrical and lighting and hauled a lot of stone over the summer months. The groomer, tractor and drag are now all under one roof. It was reported that Paul Kuehnl installed our new tires on the tractor and it is ready for disking this fall. Jason Ollanketo is currently working on an estimate to redo some of the wiring in the groomer to help address our key switch failing issues over the last few seasons. There is some additional work to be scheduled on the groomer. The tracks need to be tightened up and one of the idler wheels needs to be replaced. Stay tuned for groomer work days this fall. The club had some discussions regarding the possibility of purchasing tools and or tool boxes for working on our equipment. This discussion was tabled until next month. Safety Committee Jason Ollanketo will be teaching a joint ATV/Snowmobile class again this year sometime in December. More information will be available once the class is scheduled. Old Business The club will be selling corn at Octoberfest again this year. The corn roaster, propane, 150 dozen ears of corn, butter, fire extinguisher and misc supply duties have all been assigned. The club will once again be shucking corn at Harv Harrison’s house on Friday night (Sept 23) and selling corn on College Avenue all day on Saturday (Sept 24). A sheet was passed around the room for volunteers. The club did decide to purchase additional Wolff’s Pack T-shirts for the event. Anyone who helps at Wolf Pack Snowmobile Club Monthly Meeting Minutes 2010-2011 Octoberfest attendees this year will be eligible for a free T-shirt. We ordered additional shirts in all sizes from Small through 2XL, so we should have you covered. Please let us know if you have the time to help at our biggest fundraiser of the year. New Business Stu Hoelzel made a motion for the club to give out a free membership at the October meeting to anyone who signs up and pays for the 2016-2017 snowmobiling season. Scott Thoma seconded. Board of Director’s Report The Wolff’s Pack Board met before the meeting to discuss 1 year and 5 year goals for the club. 1 year plan 1) Maintain the snowmobile trails between Lake Winnebago and the Wiouwash. 2) Maintain our current equipment in excellent operating condition. 3) Begin the process of becoming a 501c(3) organization that is capable of receiving tax deductible donations. 5 year Plan 1) Continue fundraising efforts to raise money to upgrade our equipment in the future. Wolff’s Pack Snowmobile Club Meeting Minutes April 12, 2016 at the Payne’s Point Hook and Spear Club April 2016 Wolff’s Pack Minutes The meeting was called to order at 7:36pm by Vice President Stu Hoelzel. March 2016 meeting minutes were read by Joel Vernon. Treasurer’s Report (Jason Ollanketo): Please join our club to get a copy of the Treasurer’s report. Social Committee: Stay posted for updates for Octoberfest. Website The website is able to do advertising. Looking into what size(dimension) the art work needs to be. Hope to get advertising on website soon. Directors Report Mike Giese updated the club with the latest registration report from the DNR. 61,966 discounted trail pass, 55,381 non club member trail pass. 13,000 new club members. $2,000,000 went into the snowmobile fund. AWSC member ship was 28,665 for 2014-2015 season jumped to 41,554 for 2015-2016 season. The Blue Mound state park has had a law suit filed against its master plan. This may be a setback for allowing snowmobiles into the state park and future use in other state parks. Trail/Grooming The signs have been picked up and put in the barn. Thank you to everyone who helped. Stay posted for a summer sign party. Routine maintenance will need to be done on the groomer before next season. work to be done is the electrical system, shorten the tracks, and tire guides. The tractor will need to have the rear tires changed out. Safety Committee No report Old Business The club was successful at getting the diesel fuel and tank. About 180 gallons of free fuel. Thank you to those that helped. New Business The club will hold its 2016-2017 business meetings at Mikeees Payne’s Point bar and grill. The January breakfast meeting will be at Vinland Still and grill. Motion was made by Stu Brazee seconded by Tom Spierowski. Motion passed. Swamp mats/pads are a easy alternative to bridge if anybody has any leads on swamp mats/pads please contact Mike Giese. Mike Giese made a motion for the club to sell corn at Octoberfest. Seconded by Tom Spierowski. Motion passed. A board meeting will be held the 2nd Tuesday in August. The summer sign party will be held June 11th. Mike Giese would like to top of the fuel tanks to reduce condensation in the tanks. It would cost about $250 to do this.
