Don and Michelle Westbrook are awaiting Hexco Motorsports, and Matt Smits needs to go collect the helmet and jacket from Winnebegoland. An idea to reach out to Meat Block/ Haen’s Meat Market was brought up and Stacy Frakes agreed to reach out and see if they would be willing to donate. Thanks Stacy! Don and Michelle Westbrook also agreed to become admins for the Facebook page to begin posting items/ events relevant to Winter Expo 2021. The following was reported; AWSC scholarship applications are due on 01/07/2021 ‘Snowmobile Friendly Community’ award applications are due 01/04/2021 See AWSC website for more information surrounding these events January Directors Meeting to be held in Cable WI Trail/Grooming Committee Trail marking had the best turnout in quite some time. 17 people came out on 12/05 official marking day and almost everyone had a unit to assist. All brushing and trail marking has been completed—all we need is snow! Special thank you to Team Winnebegoland for the demo Ranger and Pat Jensen (new member) bringing the brushing crew of future riders to assist! Membership and Safety Committee: At the time of the meeting, the club had collected 55 memberships so far for the 2020/2021 season. Jason Ollanketo to send out reminder emails as necessary. Jason O has two safety classes now scheduled with 43 future riders attending Old BusinessGPS for Groomer:Groomer GPS should be delivered within the week, paperwork will be submitted within the week for reimbursement. New BusinessZoom Virtual Meeting:Zoom meeting set up from AWSC was non-functional at time of meeting- Jason O and Matt S to get together as Alliance may be purchasing a membership for future meetings. Boys/ Girls Brigade:A big thank you goes out to Grant Wilson for organizing sponsoring a family from the local boys/ girl brigade. Scavenger hunt and Kids raffle will also be organized with potential different color tickets for kids/ adults to separate. Paul Kuehnl will be finalizing classes/ trophies for show in the next month or so. Mike Giese has secured the AWSC trailer. Stacy Frakes will have/ distribute bar posters as necessary. It was also discussed to invite other clubs/ etc to be discussed more in depth at the Alliance Mtg. Club Raffle(s): The WP board recommended two raffles at the Annual meeting. This raffle has taken a backseat to the Snowblower raffle— books are to begin going out to bars ASAP to push early sales County Director’s ReportDirectors meeting was held as planned at the end of October in Appleton. A couple of highlights included; November 2021- Groomer GPS will be mandatory on all club groomers across the state, there will be a 6-8 hr delay on any software to deter groomer chasing riders Over the last year, over 350 new miles have been added to the states snowmobile infrastructure Langlade county bridge was approved over the Wolf River for snowmobile only Bar/ Restaurant sign removal on all snowmobile trails driven by DNR was found to be false rumors spread by social media Trail/Grooming Committee Almost all of the trail system has been leveled and currently on hold due to all of the recent rain. It was discussed that WP Snowmobile club will trial GPS- more detail in ‘new business’. There will be a facebook invite for some potential pre-marking/ groomer work as early as the upcoming weekend, please watch Facebook for updates. Diesel fuel was delivered within the past couple weeks and the tanks are now full. Membership and Safety Committee: At the time of the meeting, the club had collected 54 memberships so far for the 2020/2021 season. Jason Ollenketo to send out reminder emails as necessary. Jason O has two safety classes now scheduled as it is currently capped at 25 students to respect the CDC’s recommendation of social distancing. To date there are 32 students signed up for the two two-session classes (12/1, 12/3, and 12/8, 12/10) Old BusinessOld Groomer:It was a recommendation from the board that the (now) old groomer be listed for sale given there would be no real need for it going forward given the pristine condition of the new BR180 delivered in the past week. The spare parts that cannot be used with the new unit were also discussed and suggested that they go for sale and included in the listing. Mike Thoma made a motion to list the old unit for $14,900 and leave it to board discretion to determine lowest acceptable offer. Stu Hoelzel made a motion to approve, Paul Kuehnl seconded, and all approved. 2020/2021 club meetingsDiscussion surrounding offering virtual meetings for the remainder of 2020 (minimum) was had and it was decided that there will be a virtual option available for those who do not want to participate in person. There will be further communication and earlier than a couple days on how to call in to the meeting. The system was tested and it works if you dial in from a phone and enter the access code when prompted. Watch for a separate email with call in numbers for future meetings. ***THOSE CALLING IN VIRTUALLY AND ATTENDING FOR THE WHOLE MEETING WILL STILL BE ELIGIBLE FOR ATTENDANCE RAFFLE** to withdraw from this due to COVID restrictions. Turnout ultimately ended up being smaller than anticipated. New BusinessGPS for Groomer:Groomer GPS is going to become required for all clubs that currently groom in the state beginning November of 2021. Wolff’s Pack is electing to be the ‘guinea pigs’ for installation in the 2020 season to try and get ahead of the curve to vet out/ assist others with questions as this transitions into a requirement. The cost of the unit is reimbursable by the state and is going to assist in more accurate grooming reporting. It is worth nothing that there will be a delay on reporting as much as 6-8 hours as there are APPS that show groomers locations. This will deter any people from following the groomer real time. Mike Thoma made motion to accept the treasurers report, Paul Kuehnl approved and all approved Social / Promotions Committee Fox Valley Winter Expo: It was a recommendation from the board that WP move forward with the winter expo given there is minimum financial investment to continue planning. The intent is still to have the local ‘downtown’ establishments have food/ beverages available for purchase. Club is attempting to reserve a large trailer to use as registration booth/ warming shack to be able to maintain social distancing separate from the larger crowd. Paul Kuehnl will be in discussions with other members about condensing snowmobile show classes and will be waiting until closer to the event given current events to purchase any trophies/ prizes. The club members can and should begin collecting raffle baskets for the silent auction. The 2020 directors meeting is to be held as planned at the end of October. Mike Giese will share details at November meeting. Trail/Grooming Committee New groomer has arrived and is in great condition. Thank you goes out to Grant as he added some LEDs and repaired some brackets that were damaged in transit. He has also made up some manuals that will be given to operators when the time comes. Mike Giese is about ½ way though contacting the landowners—due to crop rotation there is a lot of winter wheat on the trails, there is currently a handshake agreement that damage will be reimbursed to landowner(s) in the event of off trail riding. Sensitive areas are going to need to be more heavily signed. There were some areas that have been disc’d down already due to good conditions. A big thank you goes out to Mike Bresynan laying welds down on the drag and getting it ready to go for the season. There will be plans to have a 50/50 raffle, raffle baskets and Michelle Westbrook agreed to help out with children activities. Ariens Snowblower Raffle: Grant Wilson was able to get Ariens to donate a 28” SHO Deluxe Snowblower at a retail value of $1,299. The club also decided to add a 2nd and 3rd prize of $100 to sweeten the pot. 300 tickets will be sold at $10 each and the drawing will be held at 7:30 PM at the Wolff’s Pack, December 8, 2020 meeting. Eric Kappell made a motion to have this raffle and Mike Thoma seconded with all approving. County Director’s ReportThe AWSC 2020 Spring and Fall Conventions were both cancelled due to Covid 19. There will be a Director’s only meeting held at the end of October. The club marking and grooming checks have not yet been paid by the County and should be out by early October once maintenance has been completed on the SNARS system. Trail/Grooming Committee Mike Giese has not yet started contacting landowner’s regarding this year’s trail. Jason Ollanketo will provide a list of last year’s free landowner membership records before Mike heads out. Grant Wilson mentioned that there should be a maintenance list to start working on the club equipment to get it ready for the season. The Grooming Committee should watch for emails on upcoming work days. Membership and Safety Committee: At the time of the meeting, the club had collected 22 memberships so far for the 2020/2021 season. Old BusinessOctoberfest: Octoberfest has been cancelled this year and will have a big impact on our fundraising efforts for this season. Attendance Raffle:Eric Kappell on behalf of his business, Dimensions Plastering, LLC offered a $200 attendance raffle reward for our meetings from last year. Since the drawing was not held in April it was drawn at the Annual Meeting. One key caveat to the raffle was that you had to be present to win. Harvey Harrison was the first name drawn, followed by Brian Reeves, followed by Cindy Loberg. Paul Kuehnl was the fourth name drawn and the only one in attendance. Congratulations Paul! Mike Giese made a motion to have an attendance raffle again this year. Paul Kuehnl and Eric Kappell agreed to each donate $100 for a $200 attendance award to be drawn at the April 2021 meeting. Must be present to win. Every meeting that you attend gets you another ticket in the drawing. Grant Wilson seconded and all approved. Membership Fee’s:The board recommended that we keep our membership fee at $25 again for this season. Memberships will be sent in on the 15th of each month from August through February. After December 15, a $10 expedite fee will be added for anyone who wants a quick turn around on their AWSC membership/Trail Pass or they can wait until the 15th of the next month. Mike Thoma made a motion to accept this membership amendment, Stacy Frakes seconded and all approved. Nominations: Mike Thoma accepted a nomination for a 2 year board member position. Matt Smits accepted a nomination for Secretary. Paul Kuehnl had an existing nomination for President and Mike Giese had a nomination for Trail Boss. Annual Budget:Grant Wilson presented the Annual budget to the club and reviewed last year’s budget. Eric Kappell made a motion to accept the budget and Stacy Frakes seconded. All approved. New BusinessWinnebagoland Employee Appreciation Day:Matt Smits informed the club that Team Winnebagoland was willing to give our club a $500 donation if we could serve their 50-person team a corn and brat lunch on Friday Sept 19. Matt Smits agreed to handle logistics, Stacy and Dave Frakes agreed to steam cook corn for the event. Mike Giese, Mike Thoma and Jason Ollanketo agreed to come help at the event. Beehive Corn Fundraiser on Saturday Sept 26th.Angie is looking to have an outside craft fair at the Beehive and would like the Wolff’s Pack to serve Corn and Pork sandwiches at the event from 11-4 on 9/26. Grant Wilson and Eric Kappell were going to look into acquiring 50 lbs of pork for the event. Stacy would provide her corn steamer for cooking. Mike Bresnyan seconded and all approved. Groomer Replacement DiscussionGrant Wilson has done a lot of research on a couple of Bombardier Groomers available for sale in Canada. The board has also had a couple of meetings regarding upgrading our current brake steer, 1989 Bombardier Skidozer. There is a 1994 Bombardier BR160 and a 1998 BR180 for sale in Winnipeg, Canada. The smaller BR160 is priced at $23,000 and the larger BR180 is priced at $25,000. These machines are both driven by hydraulic motors and have more power and would be easier to operate than our current machine. After a great deal of discussion, Eric Kappell made a motion for the club to continue researching and purchasing which ever machine seems better suited to our club’s needs. A total of 29, $100 checks were paid out for the raffle. An additional $150 in raffle expenses were for ticket printing and advertising posters. Social / Promotions CommitteeFox Valley Winter Expo:Paul Kuehnl and Stacy Frakes led a discussion regarding the 2021 Fox Valley Winter Expo. The Westward HO, Van Dyne Lion’s Park and Headliners were all discussed as possible venues. Dates were also discussed. It was decided not to have the event on Jan 9, 2021 due to a conflict with vintage weekend at Eagle River. It was decided not to have it on Jan 16, 2021 due to Eagle River Race weekend. Mike Bresnyan made a motion to have the 2021 Fox Valley Winter Expo at Headliner’s Bar on Jan 23, 2021 without the use of Headliner’s ballroom. Stacy Frakes seconded and all approved. Headliners will handle the bar and food for the event allowing Wolff’s Pack club members to focus on other tasks. Club Raffle: The Wolff’s Pack February Calendar Raffle is over and ended up being a huge success for our club netting a profit of $2,930. We will most likely be planning on doing a similar raffle next season. Congratulations to everyone on a great job supporting this raffle and a special thanks to the Beehive Barn and Grill for their participation. We could not have done it without them. County Director’s ReportThe AWSC 2020 Spring Convention was supposed to be held from March 20-22 at the Madison Marriot West in Middleton, WI. Shortly after our meeting, the AWSC postponed the event due to Covid-19, which has now been rescheduled for May 29-31, 2020. The AWSC does have rooms blocked and any previous reservations will need to be rescheduled. The AWSC room block closes on May 8, 2020. Alliance Meeting Discussions: There were multiple discussions at the latest Alliance meeting. The Winneconne Wolfrunners are still working with the Village to allow snowmobiles in town again next season. There were also discussions at the meeting regarding the opening and closing of trails in the county. Some people were upset that we closed the trails before the final weekend of the season for a storm that never happened the following Tuesday. Trail/Grooming Committee At the time of our meeting the trails were closed for the season. On Saturday, March 14, the Trail committee got together and picked up all but four of the signs on the trail. A special thanks goes out to Mike Giese, Ben Case and Jason and Sawyer Ollanketo for making quick work of the trail pickup. Ben had to use two different 4 wheelers to get the job done and converted his four wheeler to a three wheeler for a brief time to make it back to the truck. Check out our facebook page for evidence. Membership and Safety Committee: At the time of the meeting there were 64 members on our active roster including 10 free memberships given to the gracious landowners along our trail. All memberships this year will expire on June 30, 2020. The Wolff’s Pack snowmobile club will be teaching a joint ATV/Snowmobile training course in the October timeframe of 2020 at the Boys and Girls Brigade. Old BusinessNominations:The Wolff’s Pack Snowmobile club will be holding elections at the April meeting. The following positions are up for a 2 year re-election: President, Secretary, Trail Boss and a 2 year board member position. Paul Kuehnl has accepted the nomination for President and Mike Giese has accepted the nomination for Trail Boss. The Secretary and 2 year board member position currently do not have any accepted nominations. UPDATE: Due to Covid-19 and the Wisconsin Governor’s “Safer at Home” policy, the Wolff’s Pack April Meeting has been canceled. Our planned elections will take place at the September Annual meeting in light of this new development. New BusinessClub Membership Drive: The first full year of the new AWSC membership is coming to a close. All current AWSC memberships will be expiring on June 30, 2020. The Wolff’s Pack Board is interested in idea’s to try to get our club to start renewing memberships in the April through June timeframe instead of September through November. Long term this will be a more viable strategy to make sure that everyone continues to get their first AWSC magazine in the late August timeframe. Jason Ollanketo agreed to review the club bylaw’s to see if any modifications should be suggested for future club membership changes. Expenses and proceeds from the Fox Valley Winter Expo as well as raffle ticket sales deposits impacted this month’s financials. Social / Promotions Committee Fox Valley Winter Expo:Paul Kuehnl, Grant Wilson, Stacy Frakes and Eric Kappell make up the Fox Valley Winter Expo Committee. No location has been chosen yet for next year. Headliners and The Westward Ho are two possible venues that the committee is researching. More to come at the next meeting. Club Raffle: The Wolff’s Pack February Calendar Raffle is underway and as of the meeting 11 drawings have already taken place. It looks like we had a complete sellout of the 600 tickets. Congratulations to everyone on a great job supporting this raffle and a special thanks to the Beehive Barn and Grill for their participation. County Director’s ReportThe AWSC 2020 Spring Convention will be held from March 20-22 at the Madison Marriot West in Middleton, WI. Early bird registration is $15 and is open until Thursday March 5th. Paul Kuehnl and Mike Thoma are considering attending on behalf of the Wolff’s Pack Snowmobile Club. County Director, Mike Giese will be attending on behalf of the Winnebago County Snowmobile Alliance. There have been some emails circulating as of late to support the Polk County Snowmobile trails. Please be on the lookout for updates from the AWSC for emails that require snowmobile support across the state. Club Cookout on Trail:The snowmobile trails were not open on the opening day of Sturgeon spearing, so the club trailside event has been postponed until next year if the conditions work out in our favor. Social / Promotions CommitteeFox Valley Winter Expo:The Fox Valley Winter Expo was held on Saturday January 4, 2020. Sled Registrations were slightly down this year. Many people complimented our club’s efforts running the event. All told, it looks like we made around $960 profit including all proceeds from the raffle baskets. A special thanks goes out to all of the club members who volunteered at the event and helped collect items for the raffle. There was a lot of discussion regarding options for next year’s event. The Seymour club has stopped doing their show which was typically held on the third weekend in January. The Sunnyview Expo center charges $1,300 to host the event and only has availability for the first and second weekends in January next year. The WP board recommended that the club look for a new cheaper venue on the new date for next year. Mike Giese made a motion for the Expo Committee to decide on a location and proper date to hold the expo next year. Eric Kappell seconded and all approved. Club Raffle: The Wolff’s Pack February Calendar Raffle is coming up fast. As of the meeting there were only 100 tickets left to sell. Drawings will begin on February 1st at the Bee Hive Barn and Grill. County Director’s ReportMike Giese reported on the January Director’s meeting. President Dave Newman thanked all of the Snowmobile Club members throughout the State. Trail pass sales were up by 15,000 over last year’s sales at the same date. There are still lawsuits tying up both Blue Mound Park and the Wolf River Bridge projects. The state is looking into making modifications to the 40 foot rule when riding a snowmobile against traffic on a county, state or federal highway. There is a proposal to change the limit to 10 feet from the improved road surface, which would make it easier for clubs to have trails in areas close to roads. The Military ride is back on and Mike plans to attend in person as a tour guide. The second check for last year’s supplemental should be getting mailed to all the clubs very soon. Mike reported that there are currently 120 GPS units in groomers this year and Groomer Tracking Systems is having issues managing all the incoming data. These issues will need to be addressed before the tracking plan can be implemented state wide. The DNR is considering allowing the driving portion of Snowmobile and ATV courses to be allowed for future safety classes. No progress has been made on the statewide OWI legislation against off road equipment operation including snowmobiles, atv’s and boating. The AWSC recommends that clubs carry cones and have flashers on their groomers for safety. The AWSC membership committee will be entering all clubs that achieve a 10% increase in membership into a drawing for $500. Trail/Grooming Committee All Wolff’s Pack trails are marked and will be ready for riding once we get adequate snow. Grant Wilson is now the new Groomer Committee chair. Grant will be managing when the groomer will be heading out on the trail and working to put drivers in the groomer. There were 44 Snowmobile graduates and 43 ATV graduates with only one student failing the ATV exam. Old BusinessHappy Wolf Mascot: The club purchased a dozen of the new Wolff’s Pack Happy Wolf T-shirts that were handed out at winter expo for volunteers. There are still shirts available for purchase by club members. New BusinessMilitary RideMike Giese is planning on heading up to Eagle River to participate in this year’s Military Ride. It is now being run by new management and there were a few issues this year with the new team getting up to speed. Eric Kappell made a motion for the club to spend $100 to support the military ride as well as provide two Wolff’s Pack T-shirts to be donated to the event. We are also looking at using the Gravely to have an outside mobile selling station for drinks. The Expo committee is looking for volunteers to help gather donations and help at this year’s event. A signup sheet was passed out at the meeting. Assistance is needed from 2 until 5 on Friday Jan 3rd and again from 7 AM till 3 PM on Saturday, Jan 4, 2020. County Director’s ReportMike Giese and Jason Ollanketo met with the Eureka snowmobile club to discuss their interest in grooming their own trails this season. Eureka has purchased a snow drag and is planning to rent a tractor from a local farmer to groom their own trails this season. The 2019-2021 Winnebago County trail map is finally completed and went out for print on December 11, 2019. Please note that all of the trails in the county with the exception of the state corridors were subject to name changes. Please throw away any old copies of Winnebago county snowmobile maps that you may own and visit our map ad sponsors along the trail to get a new copy of the map. Trail/Grooming Committee Eric Kappell gave the trail and grooming report. Eric mentioned that he and Mike were planning on taking the tractor out to try to level some of the fields with the dirt drag at 3:00 on Wed 12/11. Mike also found a diamond plate toolbox for sale on Craigslist for $40 that he would like to bolt on the back of the groomer. Brian Reeves mentioned that he had a plastic toolbox that could be used instead. The club decided not to move forward since this item was not in the budget for this season. At the time of the meeting, 2/3 of the trail was marked. The Tractor maintenance was complete, the dirt drag was completed and was currently being used and the snow drag was weld repaired by Mike Bresynan on Sunday 12/8. Our annual marking day was held on Saturday Dec 7, 2019. A special thanks goes out to the 11 club members who showed up to help including: Andy Baus, Ben Case, Mike Giese, Eric Kappell, Todd Llewellyn, Stephen Merfeld, Jason, Nathan and Sawyer Ollanketo, Mike Thoma and Matt Smits. Matt was able to score the club the usage of a 4 passenger Polaris side by side and even got our lunch at the Beehive covered by Team Winnebagoland. Grant Wilson plans to have a future board meeting to help define how this tool can be better used to manage our expenses. Happy Wolf Mascot: Todd Llewellyn brought proofs for the happy wolf to be discussed and decided upon at the meeting. Todd had two different designs: an embroidery and a screen print design. After a lengthy discussion, it was determined that we should go with Option 1 for the screen print with the white “ghosting” around the text and remove the “Wolffspack.com” from the design for clothing. It was also decided to keep the original embroidery design, but substitute the new Happy wolf in place of the original Angry wolf. The club did decide to buy a dozen club t-shirts for volunteers for the upcoming Fox Valley Winter Expo. 6 XL shirts and 6 XXL shirts were to be purchased. New BusinessTrail and Grooming Committee futureGrant Wilson discussed some changes the club is hoping to make for the Trail and grooming committee. Grant is looking to create a planning sheet to lock down potential operators earlier in the season.
